Understanding the APA
The Advanced Provisioning Allowance (APA) is a pre-paid amount that covers all additional costs you may incur while on your yacht charter. While your charter fee includes the yacht itself, the crew, and insurance, other expenses such as food, fuel, and docking fees are separate — and that’s where the APA comes in. It allows your crew to stock the yacht according to your preferences before your arrival and ensures that any extras during your trip are handled smoothly. The yacht’s captain will keep a detailed record of all APA spending, so you’ll have a clear breakdown of costs at any time.
What Does the APA Include?
The APA is used for all expenses not covered in your main charter fee — whether they’re everyday costs or special requests you make during your cruise. Typical examples are:
Food & Beverages: Any special menus, favourite wines or gourmet dishes you’d like to enjoy on board.
Fuel: For both the yacht and any tenders or water toys you’ll be using.
Harbour Fees: Costs for docking at marinas and ports during your itinerary.
Internet & Communication: Should you need Wi-Fi or satellite communication on board.
How is the APA Estimated?
Usually, the APA is calculated as a percentage of your total charter fee, commonly ranging between 30% and 50% depending on your charter and preferences.
When is the APA Paid?
The APA is generally paid a few weeks prior to your charter start date, together with your final charter balance. This is typically handled via bank transfer to your charter broker, who then arranges all provisioning and payments directly with the yacht’s crew on your behalf.
Who Manages Your APA?
The funds within your APA are carefully managed by your Captain, who ensures that the yacht is fully stocked, prepared, and fuelled ahead of your arrival. Throughout your charter, both your Captain and your charter broker will monitor all expenditures made from your APA. Before the end of your journey — typically on your final evening aboard — you’ll be presented with a detailed APA statement and receipts, offering a clear breakdown of how your allowance was used.
What Happens If You Exceed or Don’t Use All of Your APA?
Should your spending surpass the APA amount, any outstanding balance will be settled by the guests at the end of the charter. Likewise, if there are remaining funds in your APA, these will be promptly refunded to you. You’re welcome to request an up-to-date APA report at any point during your cruise, ensuring you stay informed and in control of your onboard expenses.
